Smart Oversight × Deepy Consulting: automate your AML compliance without overloading your IT team

Automating KYC screening and ending double entry in your CRM sounds simple on paper. In practice, for many fiduciaries, accounting firms, law firms and real estate agencies in Luxembourg, the project waits its turn, because the IT team already has other priorities.

To remove that obstacle, we work with Deepy Consulting as an integration partner. Deepy is a Luxembourg IT services company used to working in regulated sectors.

Why an integration partner

The API calls themselves are few and all follow the same pattern. The real work lies elsewhere: understanding how your CRM stores clients, how clean your data is, and how your compliance team handles alerts. Your IT team knows your systems better than anyone, but it already has its own priorities, and one more project is not always easy to fit into its schedule. Some firms have no in-house IT team at all.

If you already work with an IT provider you trust, they are welcome to carry out the integration: we give them the same documentation as any other team. Deepy Consulting is an additional option for firms that would like a partner who works with Smart Oversight directly.

Why we chose Deepy Consulting

Connecting an AML screening API to an existing system takes more than code: your clients’ data must be protected, and you need a record of what an auditor will ask you for.

Based in Esch-sur-Alzette, Deepy’s team combines strong expertise in REST APIs and cloud architecture with experience of regulated sectors: AML/KYC projects in FinTech, regulatory compliance in InsurTech and GDPR-compliant systems in healthcare. Its method: take stock of what exists, fix things in order of risk, and document each step.

At Deepy, there is no sales intermediary: you talk directly to the developers who design and maintain your integration.

How Deepy delivers your integration

Our article on connecting KYC & AML screening to your CRM sets out the steps of a project. Deepy can take them on alone or alongside your IT team:

  • Auditing your CRM data. Before writing a line of code, Deepy reviews your client records: individuals versus companies, dates of birth, nationalities, registration numbers. Screening is only as good as the data it receives.
  • Mapping the fields. Deepy proposes which CRM field feeds which Smart Oversight field, and your compliance officer approves it.
  • Importing your portfolio. Your existing clients are loaded, and rejected records are corrected with your team.
  • Sync and automatic screening. Whether you use an off-the-shelf CRM or a tool built in-house, each new client and each change reaches Smart Oversight and triggers screening against sanctions, PEP lists and negative media.
  • Results back in your tools. Your team does not have to switch screens: screening results and alert decisions appear on the client record in your CRM, through automatic notifications.
  • Handling alerts from your own tools, if you wish, with each decision recorded in the name of the team member who takes it.

What stays with you

An integration partner does the technical work; it does not take over your compliance obligations. Your compliance officer approves the field mapping, decides how alerts are handled and sets how often clients are re-screened. Review decisions remain yours, and a decision made in a team member’s name can only be validated if that person is your MLRO (Money Laundering Reporting Officer). Your data stays in the region you chose: Luxembourg, Switzerland or another European Union country.

Three ways to connect your tools

  • Your own IT team, which already knows your systems and receives the full API documentation.
  • Your usual IT provider, who already knows your systems.
  • Deepy Consulting, an integration partner based in Luxembourg.

Whichever you choose, access to the API is currently included in your Smart Oversight subscription at no extra cost. The cost of the integration itself depends on your CRM and your data, so it cannot be stated in advance. Deepy can assess it with you.

If you choose Deepy, you contract with Deepy directly: its quote, its terms and its responsibility for the work it delivers are its own. Smart Oversight is not a party to that contract.
